How to book a dormitory at the Jagiellonian University and AGH? Step-by-step guide
The process of applying for a place in the student dormitory of the Jagiellonian University (UJ) and AGH University of Science and Technology (AGH) for the academic year 2026/2027 is subject to strict administrative procedures. The limited number of places in relation to the number of applicants means that the allocation is often decided by details: precisely documented income, distance from the place of residence and absolute adherence to deadlines in electronic systems.
The following guide describes the booking procedure step by step, indicating the key systems, required documents, and timeframes that you need to consider to secure accommodation in Krakow state dormitories.
Schedule of recruitment to the Jagiellonian University and AGH UST dormitories for 2026/2027
Both the Jagiellonian University and the AGH University of Science and Technology divide the recruitment process into rounds. Failure to complete the formalities within the designated time window results in the irreversible forfeiture of the application in a given round.

Booking a dormitory at the Jagiellonian University (UJ) step by step
The Jagiellonian University has a database of student dormitories managed by the Department of Student Dormitories of the Jagiellonian University. The entire process is carried out electronically.
Step 1: Logging in to the USOSweb system of the Jagiellonian University
The basic tool for submitting an application is the USOSweb JU platform.
- For newly admitted students: You will receive access to the USOSweb system only after the official announcement of the results of admission to studies and the creation of a student account. The login details are identical to the EQF (Electronic Registration of Candidates) system.
- For current students: Logging in is done using your existing login and password.
After logging in, go to the section: For students -> Conclusions.
Step 2: Filling in the social security application and declaration of income
The allocation of a place in a Jagiellonian University dormitory is primarily determined by the financial situation and the distance from the place of permanent residence to the campus.
- Enter the net income per person in the family: You must reliably calculate and document your income for the previous tax year. All certificates from the Tax Office and the Social Insurance Institution should be scanned and attached as attachments in PDF format.
- Enter the distance from where you live: The system automatically verifies the distance based on the postcode of the place of residence. The greater the distance between your home and Krakow, the more points you will receive in the qualification process.
Step 3: Choosing Preferred Student Houses
In the application form, you must indicate your preferred dormitories, arranging them in a hierarchy from the most desirable to the reserve option. You can choose m.in:
- DS Nawojka (Reymonta Street) – close to the center and the Jagiellonian Library.
- DS Piast (Piastowska Street) – located close to green areas (Błonia).
- DS Bydgoska (Bydgoska Street) – a large complex with a varied standard of rooms.
- Bursa Jagiellońska (Śliska Street) – located in the Podgórze district.
Ticking the consent to grant “any other dormitory” in the event of a lack of places in the selected locations significantly increases the chances of a positive decision.
Step 4: Verification of the status of the application and payment of the guarantee deposit
The decision to award a place will appear directly in the USOSweb JU system and will be sent to your student mail.
- Deposit Requirement: After receiving a positive decision, you must confirm your willingness to live by paying a guarantee deposit (usually the equivalent of a one-month fee for a room, i.e. PLN 600 – 900).
- Account for deposits: The transfer should be made to the individual sub-account number visible in USOSweb.
- Date: You usually have 7 to 14 days from the date of the announcement of the decision to do so. Failure to pay on time means automatic resignation from the allocated place.
Booking a dormitory at AGH University of Science and Technology (AGH) step by step
The AGH UST Student Town is the largest complex of this type in Poland. The procedure for applying for a room differs from that at the Jagiellonian University and is based on the dedicated ICT system of the AGH UST Student Campus.
| Step | Operation |
| 1 | Registration in the MS AGH system (data from admission to studies) |
| 2 | Room Standard Selection (Basic / Comfort / Studio) |
| 3 | Verification of income criterion and distance |
| 4 | Receiving a promise and choosing a specific DS (e.g. Babylon, Olympus) |
| 5 | Payment of the reservation deposit online in the PayU system / by bank transfer |
Registration in the AGH UST Student Campus system
Applying for a dormitory at AGH UST does not take place directly through USOS, but through a dedicated recruitment system on the AGH UST Student Campus website.
- Login details for first-year students are automatically generated after successful completion of the admission process to studies at AGH. Information about the possibility of creating an account in the MS AGH system will be sent to your e-mail address provided during the recruitment process.
Determining the preference of the standard and choosing a dormitory
The AGH UST system puts great emphasis on the choice of room standard. Student dormitories are divided into categories:
- Basic standard (e.g. DS Itaka, DS Kabul): Double and triple rooms with shared bathrooms and kitchens in the hallway. The cheapest solution.
- Increased standard (e.g. DS Babilon, DS Olimp): Rooms in a warehouse layout (e.g. two double rooms sharing one bathroom and a kitchenette).
- Standard comfort: Self-contained single or double rooms with private bathroom.
In the system, you specify your preferences for a specific Student Dormitory. If you want to live with a friend, the AGH UST system allows you to link applications using a special group code (the so-called “token”), which guarantees assignment to the same room or warehouse.
Documenting the social situation
Similarly to the Jagiellonian University, the basis for allocation is the financial situation. You must enter your income details and attach the required tax rulings and documents. AGH UST applies income thresholds, which are updated annually by the AGH UST Rector in consultation with the University Council of Student Self-Government.
Payment of the reservation deposit
After processing the applications, the system generates a decision (the so-called place promise). To complete your booking:
- You must log in to the MS AGH system and accept the allocated place.
- A reservation fee (deposit) is required. This amount is usually the equivalent of the monthly rent for a given room type (PLN 550 – 850).
- The payment is made via fast online payments integrated with the student panel or a traditional transfer to the generated account. Failure to complete this step within a few days (usually up to 7 days) results in the cancellation of the promise, and the vacant place goes to the next round of recruitment.
The most common mistakes when applying for a dormitory – how to avoid them?
Minor formal errors may result in the rejection of the application by the scholarship committee, without the possibility of quick improvement in a given round.
- Incorrect income certificates: Social applications should be accompanied by certificates from the Tax Office specifying income, income and health insurance contributions. The lack of one of these documents or the attachment of only the PIT-37 declaration (which is not an official document confirming the facts for social purposes) results in a call to fill in the gaps, which delays the consideration of the application.
- Exceeding the deadlines for payment of the deposit: The IT systems of both universities are programmed to automatically cancel reservations in the event of failure to pay the deposit on the specified day. A last-minute traditional transfer may not arrive on time – always use instant payments if the system allows it, or make a transfer in advance.
- To enter an incorrect geographic distance: The systems verify the distance on the basis of publicly available geolocation databases (often according to the shortest road route). Self-inflating the distance to earn points will be verified by officials and may lead to immediate rejection of the application.
Appeal procedure – what to do if you don’t get a place?
If your application has been rejected due to a lack of vacancies, this does not mean that you need to immediately look for a room on the private market.
Appeal against the decision of the Accommodation Commission
You have the right to appeal within 14 days from the date of service of the refusal decision.
- Argumentation: The appeal should indicate special circumstances that were not included in the standard point application (e.g. difficult life situation, sudden change in the financial status of the family, health problems requiring proximity to the university).
- Where to submit: The appeal is submitted via the USOSweb system (at the Jagiellonian University) or in paper/electronic form to the Accommodation Appeal Committee (at both universities).
Open Applications Round (September)
In September, the so-called supplementary round (free recruitment) takes place at the Jagiellonian University and AGH. It provides places for the resignation of people who have not paid the deposit on time, have resigned from their studies or moved to other universities. This process is very fast and is often determined by the order of applications or re-verification, simplified verification of applications.
Practical tips for applicants for the 2026/2027 academic year
To maximize your chances of obtaining accommodation in a Jagiellonian University or AGH UST dormitory, follow the following rules:
- Download tax documents in advance: Tax offices have time to issue income certificates. Don’t wait for the results of your university recruitment to be announced – prepare your family’s income documents as early as June.
- Agree to alternate locations: If you only care about the low cost of living, always check the option of awarding a room of a lower standard or in a different location than the one you have chosen in the application form.
- Monitor email and messages on your systems: Decisions and requests to complete documents are sent electronically. In the period July-September, check your account in USOSweb or the MS AGH system at least once a day, including the “SPAM” folder in your mailbox.
The process of booking a dormitory at the Jagiellonian University and AGH UST for the academic year 2026/2027 requires administrative accuracy. Preparing a set of income documents, strict adherence to deadlines in the USOSweb systems of the Jagiellonian University and the dedicated portal of the AGH University of Science and Technology Student Campus, as well as quick payment of the reservation deposit is the only way to obtain cheap and safe accommodation in Krakow.
Documenting difficult incomes – how not to fail at the stage of social verification?
Most applications for dormitories at the Jagiellonian University and AGH University of Science and Technology are rejected or withdrawn for improvement due to errors in the income documentation. The social criterion is based on the calculation of the monthly net income per household member. While the situation is clear in the case of an employment contract, in the case of non-standard sources of income, this process requires the provision of specific documents.
Farm income (conversion hectares)
If your family makes a living from agriculture, the size of the farm is converted into income according to the rates announced annually by the President of the Central Statistical Office (GUS).
- Required document: Certificate from the commune office on the size of the farm in conversion hectares for the previous tax year.
- Verification of co-ownership: If your parents are co-owners of land with other people, you must attach a notarial deed or a lease agreement to the application specifying the actual state of ownership.
- Lease: Lease agreements must be confirmed by the relevant mayor, mayor or president of the city in order to be able to reduce or increase the calculated income.
Self-employment, lump sum and tax card
For parents running a business taxed in a flat-rate manner, the Tax Office does not report the actual net income in the standard certificate, but only the income.
- Lump sum / tax card: You must provide a certificate from the Tax Office containing the form of taxation, the amount of income, the tax rate and the amount of social security contributions paid.
- Calculation according to the ministry’s tables: HEIs use official tables (published by the competent minister for higher education), which assign the estimated net income to the income generated from the lump sum. Do not try to declare your income “from the ledger” yourself – the USOS system will automatically recalculate it on the basis of the attached certificate from the Tax Office.
Alimony, pensions and tax-free income
All maintenance and disability benefits must be precisely disclosed in the application for material assistance.
- Maintenance awarded: A copy of the court judgment awarding alimony to family members is required. If alimony is enforced by a bailiff, it is necessary to obtain a certificate from the bailiff on the ineffectiveness of enforcement or on the amount actually enforced in the previous year.
- Voluntary alimony: They are not recognized by the scholarship committees of the Jagiellonian University and AGH University of Science and Technology as a reliable source. In the absence of a court judgment or settlement concluded before a mediator, it will be impossible to deduct or add this amount to the official settlement.
The system of matching roommates at AGH UST and the Jagiellonian University – how to live with friends?
The ability to choose the person with whom you will share the room significantly increases the comfort of studying. Both universities have different systems for allocating roommates.
The system of tokens and groups at the AGH UST Student Campus
The AGH UST Student Campus recruitment system has a dedicated function of combining students into tenant groups. This solution prevents random assignment of roommates.
- Generating a token: After logging in to the MS AGH admissions panel and receiving a promise of a place, one of the students generates a unique code (group token) in the system.
- To pass the code: The generated code must be given to the person with whom you want to live in the same room or warehouse (in the case of two-room segments).
- Linking of conclusions: The other person enters the token in their recruitment panel. From that moment on, the system treats both requests as related and automatically assigns these people to the same room in the selected dormitory (e.g. in DS Babilon or DS Akropolis).
Indicating personal preferences in USOSweb UJ
The Jagiellonian University selects roommates in a more traditional way, integrated with the USOSweb system.
- The “Comments” field in the application: When filling out the form for a place in the Jagiellonian University dormitory, there is a dedicated text field for comments in the final part of the application.
- Mutual data entry: In order for the request to be accepted by the administrators of student dormitories (e.g. DS Nawojka or DS Piast), both persons must enter each other’s names, surnames and PESEL/album numbers in their own applications.
- Decision of the DS Manager: The final allocation to a particular room takes place at the administrative level of the respective dormitory just before the accommodation (in September). It is also worth sending an e-mail directly to the administration of the assigned student dormitory with confirmation of your willingness to live together.
Student Residence Reservation by Students with Disabilities and Students with Special Needs
Both the Jagiellonian University and AGH UST have infrastructure adapted to the needs of people with motor disabilities, the deaf or the blind. The allocation of such places takes place outside the standard points competition.
- Accessibility Department of the Jagiellonian University (former BON UJ): Before submitting an application in USOSweb, contact the Accessibility Department of the Jagiellonian University directly. Consultants will help you choose the right dormitory (e.g. DS Kamionka has specially adapted rooms) and give an opinion on your application to the Accommodation Committee, which guarantees that you will be granted a place for health reasons.
- AGH UST Accessibility Department: Several student dormitories (m.in. DS Alfa, DS Babilon) are fully adapted to the needs of people in wheelchairs (ramps, elevators, adapted bathrooms). The application reviewed by the AGH UST Accessibility Department is considered as a priority.
Free sale of places (pool for students of other universities)
If you are studying at a university that does not have its own accommodation (e.g. selected non-public universities in Krakow) or you have not received a place in your own dormitory, you can apply for accommodation as part of the free sale.
AGH UST regularly makes unused places available to students of other Krakow universities (UJ, PK, UEK, KA).
- When it starts: Free sales usually begin in the second half of September or early October, after the end of all rounds of recruitment for AGH UST students.
- Procedure: Registration takes place in the MS AGH system on general terms, but the status of an external student requires the attachment of a certificate of admission to studies from the home university.
- Pricing: Remember that students of other universities pay a higher rate for a place in AGH UST dormitories (often increased by VAT or a higher operating surcharge – the difference is usually PLN 100 – 200 per month compared to the basic rate).
Accommodation procedure (Day Zero) – what to take with you to the dormitory?
Successfully passing the recruitment process and paying the deposit is not the end. On the day of arrival at the dormitory (usually between 25 and 30 September), you must complete the formalities in the administration of the facility. Lack of appropriate documents will prevent the release of room keys.
- ID card or passport (for inspection).
- Student ID card (if you already have one) or a certificate from the university on student status for the academic year 2026/2027.
- Confirmation of payment of the deposit fee (printout from the bank in PDF format or electronic version on the phone).
- A current ID photo (format 3.5 x 4.5 cm) – required to set up a dormitory resident card.
- Disability certificate (if you are applying for an adapted room).
Most dormitories provide basic amenities such as a duvet, pillow, and bed linen (replaced free of charge once a month at the academic laundry). However, you need to protect dishes, cutlery, toiletries and a network cable (RJ45) yourself if you want to use high-speed cable internet directly from the wall socket in the room.
