Conditional pass and retake exams in Gdańsk, Gdynia and Sopot: Student’s guide

You are sitting on the SKM train, passing the Politechnika or Gdańsk Uniwersytet station, and only one thought is buzzing in your head: “What if I don’t pass?”. Red in the USOS or Moja PG system can effectively spoil the view of the Bay of Gdańsk, even on the sunniest day. For many students of Tri-City universities, the term “condition” sounds like a sentence, but in reality it is an administrative procedure that – although expensive – allows you to stay at university despite a stumble.

In this article, we will analyze the condition of the study what it actually is, what credit limits apply at the largest universities in the region and, most importantly, how to survive the session without having to submit applications to the dean. Let’s take the perspective of a practitioner who knows the corridors of Gdańsk and Gdynia faculties inside out.

Condition of the study what is it? Demystifying the concept

Let’s start with the basics. A condition for studies (formally: conditional enrolment for the next semester or year) is the consent of the university authorities to continue their studies despite not obtaining a credit in one or more subjects.

In practice, this means that you “carry” the spilled item to the next year. You then have to repeat it – usually by attending lectures and exercises again with the younger year – and retake the exam. Conditional credit for the semester is a kind of trust credit given to you by the dean, but remember: this loan is interest-bearing on your time and money.

Why do students in the Tri-City take “conditions”?

The reasons can be various – from an overly ambitious approach to working in Gdańsk gastronomy or corporations in Olivia Business Centre, to simply a high degree of difficulty in subjects such as mathematical analysis at the Gdańsk University of Technology (Gdańsk University of Technology) or biochemistry at the Medical University of Gdańsk (MUG).

The ECTS (European Credit Transfer and Accumulation System) is the currency in which your progress in your studies is measured. Each item is assigned a point value. To pass the semester without any problems, you need to collect 30 ECTS credits.

The key question is: the ECTS condition of how many points of the acceptable deficit allow you to stay on the list of students? These rules vary drastically depending on the university and faculty in the Tri-City.

1. Gdańsk University of Technology (Gdańsk University of Technology)

At Gdańsk Tech, the system is quite strict. The university uses the concept of “acceptable deficit of ECTS credits”.

  • Typically, a safe margin is 10-12 ECTS credits.
  • If you exceed this limit, instead of the condition, you will have to repeat the semester, which in practice means a break in studying new subjects.

2. University of Gdańsk (UG)

At the University of Gdańsk, the rules are a bit more flexible, but it all depends on the regulations of a particular faculty (e.g. Economics in Sopot or Law and Administration in Gdańsk).

  • A deficit of 12 or even 15 ECTS credits is often allowed.
  • However, it is worth checking whether a given subject is not a “rigorous subject”, the failure to pass which blocks the possibility of taking the condition.

3. Medical University of Gdańsk (MUG)

This is where the situation is the most difficult. In the field of medicine or pharmacy, “conditions” from the field of study are rare. Often, failing anatomy or molecular biology means having to repeat the whole year.

4. Maritime University and AMW in Gdynia

Gdynia’s maritime universities have a specific, often more formalized mode. Here, in addition to ECTS credits, it is also important to complete maritime internships, which are necessary to continue your education.

How much does a “condition” cost? The financial side of the coin

Unfortunately, conditional completion of a semester in Poland is paid. Universities charge a fee for “re-attending classes due to failing a course.”

In the Tri-City, the rates are varied:

  • At the University of Gdańsk , the rate for 1 ECTS credit usually oscillates between PLN 100-200. If the course had 6 ECTS, your pocket will be depleted by about 600-1200 PLN.
  • At the Gdańsk University of Technology, prices tend to be higher, especially at technical faculties, where laboratories generate high costs.
  • Additionally, having a “condition” loses your chance to receive a rector’s scholarship for academic performance, which is another financial loss.

How to avoid the condition? Survival strategies for students from Gdansk and Gdynia

Before you start writing an application to the dean, try all the methods to close the session on time. The Tri-City offers many resources that can help you with this.

Take advantage of consultations (on-call)

Many students of Gdańsk University of Gdańsk University are afraid to visit lecturers in their offices. It’s a mistake! Lecturers in Gdańsk often appreciate determination. If you go on duty, ask about a specific issue you have a problem with, you show that you care. Sometimes one interview is enough to get a chance for an additional retake colloquium.

Tri-City libraries – your bastions of concentration

Studying in a noisy dormitory on Wyspiańskiego Street or in a rented apartment in Przymorze does not always go smoothly.

  • BUG (Main Library of the University of Gdańsk) in Oliwa is one of the most modern spaces in Poland. The silence and the view of the campus have a motivating effect.
  • The Gdańsk Tech Main Library in the Main Building has an amazing atmosphere that forces you to concentrate.
  • The Voivodeship Public Library on Rajska Street in the center of Gdańsk – an ideal place if you need an escape from home distractions.

Student groups and “exchanges”

It has been known for a long time that students in the Tri-City are in solidarity. Each destination has its own groups on Facebook or Discord. Look for “stocks” – sets of questions from previous years. Often, lecturers at UG or Gdańsk University of Technology have their favorite issues that are repeated in revision sessions.

Studying at SKM? Yes, it’s possible!

If you are commuting from Gdynia Główna to the campus in Oliwa, you have about 25-30 minutes one way. This is the perfect time to review flashcards or review notes. This gives a dozen or so hours of additional learning “for free” per month.

What to do when a failed exam becomes a fact?

If you’ve used up all the deadlines (zero, first, and retake) and you’re still missing a pass, don’t panic. Here are the steps you need to take in Tri-City dean’s offices:

  1. Check the Study Regulations: This is your bible. Find out exactly what the ECTS credit limit is at your faculty.
  2. Download the application form: Most universities (UG, Gdańsk Tech) have ready-made templates for “conditional entry”.
  3. Write your reasoning: Be honest but specific. If the cause was random (health, family situation), attach documentation. If the subject was simply difficult, declare your willingness to improve and describe the study plan.
  4. Apply by: The dean’s offices in Gdańsk are very strict about dates. Being one day late may result in being removed from the list of students.
  5. Pay the condition: After a positive decision, you will receive information about the amount to be paid in the system (USOS/My PG). Do it as soon as possible to avoid interest.

How to survive a session in the Tri-City?

  • Take care of your mental hygiene: Gdańsk gives you a unique opportunity – a walk by the sea in Brzeźno or Jelitków after a hard day of study is the best way to reset. An oxygenated brain works 30% more efficiently.
  • Learning together in cafes: Wrzeszcz is famous for its atmospheric places (e.g. in the Garrison), where no one will chase you away with a laptop. Sometimes a change of environment makes difficult definitions come to mind on their own.
  • Monitor USOS on an ongoing basis: Don’t wait until the last day to find out that you’re missing one exercise entry. Lecturers are also people – they are on vacation in September, catching them at the last minute borders on a miracle.
  • Sign up for the study club: It is not only additional points in the CV, but above all contact with older students who know how to “approach” a given professor.

Sequential objects – the most dangerous trap of the condition

Understanding, a condition for studying what this mechanism is, requires knowledge of the so-called sequential (blocking) objects. This aspect is particularly important at the Gdańsk University of Technology (especially at the ETI or Mechanical Faculties) and at the University of Gdańsk’s science faculties.

What are sequential rigor?

A sequential subject is one that is necessary to be able to enroll in another course in the next semester.

  • A real-life example: If you failed “Mathematics 1” and it is a rigor for “Mathematics 2”, then even if you receive a conditional pass for the semester, you may not be admitted to the “Mathematics 2” class.
  • Consistency: In such a scenario, your study plan is going awry. You have a “condition”, you pay for it, but you still can’t complete all the subjects with the new year. This often leads to the so-called “waiting semester”, which is a waste of time that no one in the Tri-City wants to experience.

How to write an effective application for conditional semester credit?

Once you know the ECTS condition how many deficit points you have on your account, you have to face bureaucracy. The dean does not automatically grant the condition – you must ask for it in writing.

What must be included in the application?

In Gdańsk dean’s offices, the concrete is what counts. Your application should include:

  1. Subject data: Full name of the course, name of the lecturer and the exact number of missing ECTS credits.
  2. Random justification: If your problems resulted from a difficult life situation, illness or gainful employment (e.g. in the dynamic IT sector in Gdynia or logistics in the Port of Gdansk), describe it.
  3. Recovery plan: Declare how you intend to catch up without neglecting new subjects.

Don’t wait until the retake session ends. If you know that you will “fail” on the last date, prepare an application template in advance. At UG or MUG, the deadlines for submitting documents are not exceedable and are often only 3-7 days from the end of the session.

Condition and Erasmus departure – what do you need to know?

Studying in the Tri-City opens the door to international exchanges, but conditional passing of a semester can slam this door shut. The International Cooperation Offices at the University of Gdańsk and the Gdańsk University of Technology have clear guidelines.

  • No permission to leave: Most faculties in Gdańsk do not allow students who have an active point debt to go on Erasmus.
  • Problem with Learning Agreement: Even if you get permission, settling items abroad while repeating an item in Poland is a logistical nightmare. You would have to return from Spain or Germany to Gdańsk just to pass the “condition”.

USOS and My PG mechanisms: How not to miss deadlines?

In the age of digitalization, your life depends on IT systems. Condition of the studio: what is this process in the digital version?

Notifications and statuses

  • USOS (UG, MUG, AMW): This system generates automatic notifications about the lack of passing. Remember that the fact that the system “allows” you to enroll in courses from the next semester does not mean that you have a condition. The Dean’s decision must be entered manually by an employee of the Dean’s Office.
  • My Gdańsk University of Technology: Here you have to keep an eye on the electronic index. If your status is “failed” after the retake session, you have very little time to submit an e-application for conditional entry.

Item repetition fee – how much will you actually pay

We have mentioned the costs, but it is worth taking a look at the specific amounts that may surprise you in the Tri-City. The cost depends on the weight of the subject, i.e. how many credits ECTS it includes.

  • Laboratory and design subjects: At Gdańsk Tech (e.g. Faculty of Architecture or Chemistry), the hours spent in laboratories are very expensive. Repeating such a course can cost up to PLN 300-400 per ECTS credit.
  • Theoretical/humanistic subjects: At UG (e.g. the Faculty of Social Sciences), the rates are usually lower and oscillate around PLN 150 for ECTS.

The fee for the condition is not a penalty, but a coverage of the costs of re-conducting classes. If the course is only taken in the winter semester and you failed it in the winter, you will have to wait a whole year to sit down for it, which can generate fees for “extension of the study period”.

How to systematically avoid the condition?

Instead of wondering how to arrange conditional passing of the semester, it is better to implement a defense system:

  1. Syllabus analysis at the start: Check which subjects have the most ECTS credits and which professor has the reputation of a “lawnmower”. That’s where you direct 70% of your energy.
  2. Using library repeaters: The Rajska Library in Gdańsk and the Main Library of Gdańsk University of Technology have collections of tasks with step-by-step solutions. It’s better than chaotic lecture notes.
  3. Support for older generations In the dormitories in Gdańsk’s Niedźwiednik or Wrzeszcz, the knowledge of how to pass the most difficult subjects is passed down from generation to generation. Don’t isolate yourself – student life in the Tri-City is also about exchanging “know-how” about exams.

Questions about the condition in college

Condition of study what does it mean in practice?

This is permission to continue studies despite failing the subject. You must repeat it the following year, which involves a fee and re-attendance of classes.

Is conditional semester credit visible on the diploma?

No. The diploma shows the final grade in the subject obtained after revision and your average from the course of study. The fact of having a condition along the way does not affect the prestige of the document.

ECTS condition How many credits can you have at the University of Gdańsk?

The limit depends on the faculty, but is usually between 12 and 15 ECTS credits. Exceeding this barrier results in the need to repeat the entire semester or year.

Can I take a condition from the same subject twice?

Most regulations in the Tri-City (e.g. at Gdańsk Tech) allow for a double approach to a condition in the same subject. The third attempt usually requires special permission from the Rector and is difficult to obtain.

Do you pay for the condition immediately?

The payment deadline is usually set in the dean’s decision. At most universities in Gdańsk, you have about 14-30 days from the start of the new semester to do so.

Does the condition block a social scholarship?

No. The social scholarship depends on income. However, the condition almost always blocks access to the rector’s (scientific) scholarship, as one of the requirements for receiving it is to complete the year on time and not have an ECTS deficit.

The condition is not the end of the world

Studying in the Tri-City is an amazing adventure, but also an intellectual challenge. A condition at university is a tool for people, not a reason to be ashamed. The most important thing is to understand what this mechanism is and how to use it wisely so as not to miss the chance to get a diploma.

However, if you feel that USOS is starting to “glow red”, do not hesitate. Visit the library on Rajska Street, consult with the lecturer and check if your deficit is within the limits of the ECTS condition of how many credits. Gdańsk, Gdynia and Sopot are places that are conducive to the ambitious – even those who sometimes get their feet wet.
