Template #1: “Sunny Mail” – Building Relationships

When to use: When a student does something wonderful. The goal: to build a positive relationship with the parent before problems arise.

When to use: When you see a problem (grades, behavior, attendance) and want to invite a parent to a meeting. The goal: to avoid an accusatory tone, to build a partnership atmosphere.

You’ve already mastered the art of creating and using personal templates. It’s like learning how to wield a sword perfectly. Now I’m going to teach you how to build an entire army that will fight for you. We are entering the strategic level.

How to Grade Written Papers Twice as Fast

Checking written papers. Hours of spending time on essays, essays, dissertations. You want to give everyone valuable, constructive feedback, but at the age of thirty, your brain turns into jelly and comments become casual. It’s time to change that.

Your Weapon: “Comment Bank”

This is your most important template, which is not a single document, but an entire system. Create a Google Drive document called “COMMENT BANK – [Twój przedmiot]”. Divide it into sections corresponding to the key skills you are assessing.

Template #5: Bank of comments on written works (example for Polish)

I. COMPOSITION AND STRUCTURE

  • (Positive): “A well-constructed introduction! Your thesis is clear and intriguing.” / “I like the logical transition between paragraphs. Your argument flows smoothly.” / “The ending sums up the whole thing perfectly and leaves the reader with reflection.”
  • (To be improved): “Try to formulate the thesis in one, more precise sentence in the introduction.” / “There is a clear connection between this and the previous paragraph. Use keywords to create a bridge.” / “The ending is too abrupt. Expand it with a brief summary of the main arguments.”

II. ARGUMENTATION AND WORK WITH TEXT

  • (Positive): “Excellent selection of quotes that perfectly illustrate your arguments.” / “Your analysis of this passage is really insightful and revealing.” / “You do a great job of combining biographical/historical context with text analysis.”
  • (To be improved): “The argument is interesting, but it needs stronger support in the text. Where exactly do you see proof of this in the reading?” / “The quote is there, but your comment is missing. Remember: the quote does not speak for itself, you have to interpret it.” / “Be careful with summaries. Instead of telling what happens in the scene, focus on its analysis – WHY did the author write it that way?”

III. LANGUAGE AND STYLE

  • (Positive): “You use rich, precise vocabulary. It’s a pleasure to read!” / “Your sentences have a varied structure, which gives the text dynamics.”
  • (To be improved): “Avoid repeating keywords. Use the dictionary of synonyms.” / “The style is too colloquial for the form of a dissertation. Try to use more formal wording.” / “Pay attention to punctuation errors, especially in compound sentences.”

How to use it? When you check a work, you don’t write comments from scratch. You open your “Bank”, copy the appropriate wording and paste it into the student’s work, possibly adding one sentence of personalization. Your feedback is always at a high, substantive level, even when you are tired, and the review process is accelerated by at least 50%.

Templates that fill in themselves – AI as a personal referent

This is an absolute breakthrough. You have learned how to create templates. Now you will teach the AI how to complete them for you.

Your goal is to create a command that gives AI your template and specific student data, and it creates a ready-made, personalized document.

Template #6: “Prompt” for filling out emails

Command for AI (e.g. ChatGPT/Copilot):

Take on the role of an empathetic, experienced teacher. Below is my template for an email to parents and data about a specific student. Your task is to fill the template with this data, creating a ready-made, natural-sounding message.

MY TEMPLATE:

Topic: About the progress of [Imię Ucznia] with [nazwa przedmiotu].

Dear Sirs,

I would like to share a few observations about working [Imię Ucznia] in [nazwa przedmiotu]lessons.

I noticed recently that [opisz pozytywną obserwację]. I appreciate it very much. At the same time, an area that we need to work on together is [opisz obszar do poprawy]. I would like to suggest that [podaj konkretną propozycję działania]. I believe that with our cooperation, [Imię Ucznia] certainly [opisz pozytywny, przyszły rezultat].

Sincerely, [Twoje Imię]

STUDENT DATA TO BE FILLED IN:

  • Student’s name: Jan Kowalski
  • Subject Name: Mathematics
  • Positive observation: He began to actively volunteer for whiteboard answers, even on difficult assignments; You can see that he is overcoming his fear.
  • Area for improvement: Regularity in homework; He sometimes forgets or does them carelessly.
  • Action suggestion: Perhaps you could make sure that he spends 15-20 minutes on the task every day after class? In case of problems, he can always write to me with a question.
  • Positive future result: They will consolidate the knowledge gained in the lesson and will feel much more confident on the tests.’

You paste this command into the AI. In 10 seconds, you get a ready-made, perfectly formulated email, which you can send with a slight correction. You can create similar “master-prompts” for filling in opinions, characteristics or work plans. This is your personal superpower.

How to create a team template library

The biggest loss in the education system is that every teacher reinvents the wheel, locked in his room. It’s time to change that.

  • Step 1: Talk to two trusted colleagues. Suggest: “What if we created a shared folder in Google Drive, where we would upload our best templates for emails, scripts, worksheets?”.
  • Step 2: Create a simple folder structure. E.g. COMMON TEMPLATES -> Polish Language, COMMON TEMPLATES -> Communication with Parents.
  • Step 3: Agree on simple rules. E.g. “Everyone uploads at least one template per month”, “If you improve someone’s template, you save it as a new version (v2)”.
  • Step 4: Enjoy the synergy effect. Math teacher creates a brilliant worksheet template that you can adapt to the story. The Polish teacher creates a beautiful email template that all three of them use. You cease to be lonely islands. You become an archipelago.

This is much more than saving time. It is about building a culture of cooperation, sharing knowledge and mutual support. It’s a real change that starts with one simple folder.

Templates that protect

In our profession, we are increasingly confronted with difficult situations, demands, and sometimes even on the border of the law. Thoughtful, consulted templates can be your best shield.

Your action plan:

  • Create a work note template. Agree with the school pedagogue or management what elements must be included in the official note from a difficult meeting with a parent or an incident with a student (date, time, people present, description of the situation, actions taken, signatures). Keep this file at hand at all times. In a stressful situation, you don’t have to think about the form, you focus on the content.
  • Create a “Contract with Students“. At the beginning of the year, especially in older classes or groups with behavioral problems, create a simple contract with your students (but based on your template!). What should be included in it? Rules of communication, deadlines for submitting works, consequences of plagiarism, rules for using phones. Once both parties “sign” it (even symbolically), you have a document that you can always refer to. This moves the discussion from the level of “because I say so” to the level of “these were our common arrangements”.

Using such templates is not an expression of distrust. This is an expression of the highest professionalism and care for safety – both for students and their own.
