Have you received a message “not qualified” in the IRK (Internet Candidate Recruitment) system, and your dreams of studying at the University of Warsaw or the Warsaw University of Technology have been shattered? You have exactly 14 days from the date of delivery of the electronic decision to file an appeal. In 2026, in Warsaw, the fight for places in faculties such as psychology, computer science or medicine at the Medical University of Warsaw is so fierce that automatic systems generate errors more often than you think. Step 4: Delivery (Warsaw Strategy)

Why do most students rely on appeals?

If the Rector (e.g. UW or WUT) upholds the decision not to admit, it is not the end of the road. Your next step is to file a complaint with the Provincial Administrative Court in Warsaw (2/4 Jasna Street).

  • Date: You have 30 days from the delivery of the Rector’s final decision.
  • Cost: The entry for a complaint in student cases is usually PLN 200. This is a ridiculous amount compared to the cost of private studies (e.g. at Kozminski or Łazarski), and winning before the Provincial Administrative Court forces the university to reconsider your case, taking into account the court’s guidelines.

Why do students lose to UKR? (Technical Error Analysis)

At Warsaw universities (UW, WUT), the mere “lack of a point” is not a prerequisite for appeal. The IRK system works zero-one. You can only appeal if you can prove that these points were miscounted. Example: Your A-level exam in Extended Mathematics has been recalculated with a multiplier of 0.6 instead of 1.0. However, if the points are counted correctly and you are simply “under the line”, the appeal will be rejected. In such a situation, your only chance is to take a reserve list and wait for the next rounds (the so-called decision-making rounds of recruitment), where the thresholds naturally fall when candidates do not deliver documents to the dean’s offices on Banacha Street or Koszykowa Street.

How do I know if there was a procedural error in my recruitment?

You need to review the Resolution of the Senate of a given university on the conditions of admission for 2026/2027. You can find this document in the Public Information Bulletin (BIP) of the university. Check the points conversion table carefully. The most common mistakes in Warsaw happen in:

  • Winners and finalists of Olympiads (failure to obtain permissions from the database).

Remember that the Main Building is huge – enter through the entrance from Nowowiejska Street, it is the shortest way to the administration. If you are submitting documents on the last day, do not trust the post office – take tram lines 15, 17 or 33, get off at the “Metro Politechnika” stop and submit the letter in person.

Do I have to sign the appeal with a Trusted Profile?

In 2026, an appeal submitted electronically must be signed with a trusted signature (by the gov.pl party) or a qualified electronic signature. A simple scan of a hand-signed letter sent by e-mail is legally ineffective and the university can ignore it without calling for it to fill in the gaps. If you choose the traditional way, sign legibly with a pen (blue – this is the old school of Warsaw dean’s offices, which allows you to distinguish the original from the copy). The safest method in Warsaw is to submit a letter via ePUAP directly to the university’s mailbox – then you receive an Official Certificate of Submission (UPP), which is irrefutable evidence in an administrative court.

What if I’m one day late with my cancellation?

The 14-day deadline is a mandatory deadline. If you are late, your appeal will not be considered and the decision not to admit will become final. The only salvation is an application for reinstatement of the deadline, but you must prove that the delay occurred through no fault of your own (e.g. a sudden hospital stay confirmed by documentation from the facility at Banacha Street or Wołoska Street). Lack of internet or ignorance of the result in the IRK are not considered valid reasons. In Warsaw, in 2026, IRK systems log your every entrance, so the university knows when you have read the decision. Don’t lie about it.

How to formulate a justification to make it sound professional?

Use legal language. Instead of “I believe that I deserve a place”, write: “I accuse the contested decision of an error in the findings of fact, consisting in the adoption of an incorrect number of qualification points, which constitutes a violation of § 4 section 2 of the Senate Resolution No. …”.
